Privacy Policy

SignedByYou ("we", "us", "our") helps you write and send personal notes for the people in your life. This policy explains what personal information we collect, how we use it, and your rights. We handle personal information in line with the New Zealand Privacy Act 2020.

Who we are

SignedByYou is a New Zealand–based service. For any privacy questions or requests, contact us at hello@signedbyyou.app.

Information we collect

• Account information — your email address, and your name or profile photo if you sign in with Google.
• People you add — details you enter about your friends and family, such as their name, important dates (birthdays, anniversaries), relationship, country, your private notes about them, and optionally their phone number or email so you can send notes to them.
• Notes — the notes you create, send, schedule, and your note history.
• Settings — preferences such as your "signed from" name, reminder settings, and any API keys you choose to provide.
• Usage information — basic technical and usage data needed to run and secure the service.

Information about other people

SignedByYou stores details about the people you choose to add. You are responsible for the information you enter about others and for having a reasonable basis to hold it. If someone asks you to remove their details, you can delete them in the app at any time, or contact us for help.

How we use your information

• To provide the service — storing your people and notes, and generating personalised note suggestions.
• To create note text, we send the relevant details (such as the occasion and the notes you've written about a person) to our AI provider to generate a draft for you to review.
• To send or schedule notes and reminders you ask for.
• To keep the service secure and working.

Who we share it with

We don't sell your information. We use trusted service providers to run SignedByYou, and only share what's needed for them to perform their function:

• Google Firebase — hosting, sign-in, database and file storage.
• Anthropic (Claude) — generates your note drafts from the details you provide.
• Resend — delivers notes and reminders by email, when you use that feature.

Some of these providers process data outside New Zealand (including in the United States). We take reasonable steps to ensure your information is handled with appropriate protections.

Storage and security

Your data is stored using Google Firebase and protected by security rules so that each account can only access its own data. No system is perfectly secure, but we take reasonable steps to protect your information.

Keeping and deleting your information

We keep your information for as long as your account is active. You can export your data or delete people and notes at any time within the app. To delete your whole account and associated data, contact hello@signedbyyou.app.

Your rights

Under the Privacy Act 2020 you can ask to access or correct the personal information we hold about you. To make a request, email hello@signedbyyou.app.

Cookies and local storage

We use only the storage needed to keep you signed in and run the app. We don't use third-party advertising or tracking cookies.

Children

SignedByYou isn't intended for children under 16, and we don't knowingly collect their information.

Changes to this policy

We may update this policy from time to time. We'll change the "last updated" date above, and significant changes will be notified in the app where appropriate.
